Position Overview

  • Acts as an assistant to the Manager, including:
    • answering complex inquiries and providing a wide range of support to Instrumentation and Data Acquisition (I&DA) staff;
    • receiving and responding to internal and external customer inquiries; and,
    • using technical knowledge of operations policies and procedures, schedules, assigns and dispatches work to technologists (e.g. emergency trouble calls for gate stations, dead weight tests, inspections).
  • Operates a computer terminal to access, update, extract, interpret and communicate a variety of information to support the I&DA group, as well as the operations group (SAP, ENERGY, Internet, Outlook, and MS Office applications).
  • Purchases equipment (pipe locators, CGI’s, leak detectors, recorders, personal monitors, gauges, etc.) to exact specifications for all areas of FortisBC.
  • Processes PM orders and notifications in SAP.
  • Checks and codes documents such as invoices, visa statements and time sheets, ensuring work order/account numbers are correct and ready for management approval.
  • Maintains a variety of manual and electronic file systems including setting up new files, retrieving data, and updating various records and logs.
  • Generates contract invoices by calculating and preparing invoice requisitions.
  • Serves as the main administrative contact for the department including intercepting and processing administrative enquiries, processing payment information for outside customers, and monitoring order status.
  • Performs duties of a minor nature related to the above duties which do not affect the rating of the job.

Requirements

  • High School graduation including courses in office practices and business communications.
  • Two (2) years directly related relevant work experience including records management and administrative support.
  • Ability to be self-directed, highly organized, and able to re-prioritize and adjust workload in order to satisfy external and internal customers.
  • Working Knowledge of general office procedures.
  • Basic knowledge of instruments and equipment used by field personnel.
  • Ability to multi-task and work under pressure.
  • Courteous, professional manner in dealing with internal and external contacts.
  • Sound knowledge of Customer Service, Construction & Maintenance and Systems Operations processes and procedures.
  • Excellent analytical, organizational and decision-making skills.
  • Ability to interpret from a variety of sources.
  • Capable of an intermediate level of keyboarding, including the ability to format various types of correspondence.
  • Basic knowledge of the various software applications required to support operations activities is an asset. (SAP, Energy, MS Office applications).
